Pierson Group Lodge Policy

CLEANING

It is the responsibility of the PGI member (or, if underage, their parents) to at least leave the lodge in as good condition as when you found it.  There should be no presumption that a cleaning crew will clean up upon your leaving.

ITEMS LEFT AT LODGE

Items such as food, paper products, drink items, etc left at the lodge can (and will) be used by any other person who may come afterward.  There should be no presumption that items left at the lodge will be there upon returning.  When arriving for a stay at the lodge, prepare to provide basics such as paper products, detergents, etc.

SCHEDULING

Assumptions when scheduling:

·         Anytime when scheduling the lodge, it will include exclusive use of ALL THINGS PGI, which may include camp sites, lodge, and property. If a user does not want or need exclusive use, it must be relayed to the calendar administrator.

·         There should be no assumption that Richard Dulaney’s property will be the exclusive use of the PGI member.

January 2016 and Beyond

During the initial reservation period, each member may reserve ONE WEEKEND (Friday through Sunday) during the summer (Memorial Day through Labor Day).  Any reservation requested during the week (Monday thru Thursday) or during non-summer weekends (remainder of the year) will be first come, first serve basis after the initial reservation period has been completed.

How it works – Initial Summer Month Weekend Request

1.    The administrator (Michael Sherrill) will send an email (usually early February) to every member requesting they reserve one weekend during the designated summer months.  Generally the initial administrator will give 2 weeks for these reservations to be submitted.

2.    The administrator will record these reservations from owners and determine if there is any conflict in scheduling.

o   If there is a conflict in scheduling, the initial administrator will:

1.     inform all parties that scheduled the weekend

2.    request the parties come to a resolution.

3.    if a resolution has not been found after 2 days, the initial administrator will flip a coin to decide who will receive the weekend in question.

4.    the initial administrator will notify all parties of the outcome.

5.    the person who did not win the coin flip may reserve another weekend.

3.    The administrator will update the website to reflect the weekends reserved.

4.    After the website is updated, the initial administrator will send a notice to owners requesting they review the posting to ensure accuracy.  The administrator may set a reasonable time frame for feedback.

How it works – All other request

1.    The requestor must send an email to the administrator either requesting time or cancelling a previous reservation.

2.    The administrator will update the website within a reasonable time frame (generally within 5 days.)

3.    The administrator will send out a notice to everyone indicating what has been updated.
